How Barcode Scanning works

01

Select mode

Open Scanning Center, choose from Pack, Unpack, Dispatch, or Receive Returns based on the current warehouse task. Mode determines the status update applied.

02

Scan

Auto-focus input waits for any barcode input. USB scanner triggers immediately. Phone camera scans via the Scan tab in the mobile PWA — no driver installation needed.

03

Instant update

Order status changes immediately. A success beep confirms. An error tone plays if the barcode is not recognized or the scan is invalid for the current mode.

04

Session log

Every scan is recorded: timestamp, operator, mode, order reference, and result. Session totals (count, errors, total time) show at the top of the screen.

Everything included

Four scanning modes, three hardware options, and a full audit log — all in one screen.

📦

Pack mode

Scan orders from picking to packed status. Confirms each unit is ready for dispatch without keyboard input.

Unpack mode

Reverse any pack scan. Move an order back to processing status if it was packed by mistake or needs to be held.

🚚

Dispatch mode

Scan every box that goes on the courier truck. Any unpacked order triggers an error tone — preventing mispickup.

Receive Returns mode

Scan returned CN barcodes to instantly update order status to return_received and write a full audit log entry.

USB + Bluetooth + phone camera

Any USB scanner that outputs keyboard characters works. Bluetooth scanners work on mobile. Phone camera via the PWA Scan tab as a fallback — all three work simultaneously.

Audible feedback

Success beep confirms each valid scan. Error tone plays for unrecognized barcodes, invalid mode transitions, or orders already in a terminal status.

Session stats

Count scanned, error count, and elapsed session time shown at the top of the Scanning Center screen throughout the session.

Lookup by CN or order reference

Scan any CN barcode or manually type an order reference number. Both work in any scanning mode without mode-switching.

Full ScanningLog audit trail

Every scan writes a ScanningLog entry: timestamp, operator ID, mode, order reference, and result (success or error with reason).

Mobile PWA with dedicated Scan tab

5-tab bottom navigation on the mobile PWA includes a dedicated Scan tab — camera scanning without a separate app or hardware investment.

Built for teams that...

The warehouse manager running 300+ dispatches a day

The pain: Before the scanning center, my team was typing order IDs to change status. 300 orders × 10 keystrokes each = 3,000 keystrokes and dozens of typos per day.

The fix: Now they scan 300 orders in 18 minutes. No typos, no missed status updates, no angry ops manager chasing corrections at end of day.

The team receiving returned shipments

The pain: Returns were the worst — check the courier's paperwork, find the order in the system, manually update status. One return took 3–4 minutes of keyboard time.

The fix: Now it is scan-scan-scan. We process 50 returns in under 20 minutes and every one is immediately visible to the CS team with a reason logged.

The mobile-first warehouse on a budget

The pain: We do not have USB scanners and could not justify the cost. Our dispatch process was entirely manual — status updates done by one person with a laptop at the gate.

The fix: Kliovo's mobile PWA Scan tab uses the camera. It works. We do 150+ scans a day with just two Android phones. No hardware investment at all.

Common use cases

Morning pack session

Open Pack mode. Pick up the first box, scan. Beep. Next box. Your entire packing team can work simultaneously — each on their own device in Pack mode. Status updates are instant and visible to the dispatch team across the floor in real-time.

Dispatch verification before courier pickup

Switch to Dispatch mode when the courier truck arrives. Scan every box that goes on the truck. Any order that was not packed first triggers an error tone — preventing mispickup. The session log becomes your dispatch manifest for the day.

Return quality check

In Receive Returns mode, scan each returned package. The order detail page opens instantly — you can see the original order, confirm condition, add a note ('box opened, contents checked'), and close the return in one scan-and-tap flow with no keyboard.

Frequently asked questions

Do I need to buy specific barcode hardware?

No. Any USB barcode scanner that outputs keyboard characters works — these are commodity hardware available for Rs 2,000–5,000 from any electronics market. Bluetooth scanners work on mobile. The phone camera works as a fallback via the PWA.

What barcode format does Kliovo print on CN labels?

Code 128 barcodes are included on all branded CN labels. This is the standard format that all major courier CN labels also use — so courier CNs scan correctly in any scanning mode without any format configuration.

Can multiple team members scan simultaneously?

Yes. Multiple operators can be in Scanning Center mode on different devices simultaneously. Each session is separate and all scans write to the same order database. Last write wins, with conflict logging for audit purposes.

What happens if I scan the wrong order?

Use Unpack mode to reverse any Pack scan immediately. For Dispatch mistakes (order scanned as dispatched but not actually sent), you can update the status manually from the order detail page — and the audit log records the correction with operator ID and timestamp.

Is the audit log accessible by supervisors?

Yes. ScanningLog entries are visible in the audit log section and can be filtered by operator, date, mode, and result. Useful for investigating discrepancies or verifying dispatch compliance during operations reviews.

Is scanning included in all plans?

The Scanning Center is available on Growth plan and above. Starter plan supports manual status updates from the order detail page. See the pricing page for full plan feature comparison.
